Transport ERP

Every vehicle, trip and invoice in one operating picture

A transport business is profitable or not at the level of a single trip. When the vehicle file, the driver file, the fuel slip and the freight invoice live in different places, that number is always an estimate.

In the yard

Fleet, drivers, trips, fuel and freight billing in one operating picture, so a delayed vehicle and an unbilled load surface in the same place.

The trip is the unit

Cost the trip, not the month.

Monthly fuel totals and monthly freight totals will always net out to something. They just will not tell you which route, which customer or which vehicle is carrying the loss.

When advances, tolls, fuel, detention, driver allowance and the freight bill all attach to the same trip record, the answer stops being a workshop exercise and becomes a report.

  • Vehicle, driver, route, load and customer joined on one trip record
  • Advances and expenses booked against the trip that incurred them
  • Freight billed from the trip, with contract rates applied automatically
  • Document and permit expiry surfaced before it becomes a penalty
  • Maintenance history retained per vehicle across its whole service life
Platform fundamentals

Everything the fleet generates, captured.

Vehicle master

Documents, permits and service history held per registration

Trip record

Route, load, driver and expenses attached to a single job

Running cost

Fuel, tyres, tolls and repairs posted against the vehicle

Bill to cash

Freight invoices raised, matched and settled in the ledger

What it covers

The fleet, the trip and the invoice.

Freight, passenger and last-mile operations share the same underlying problem: matching what a vehicle actually did against what was billed for it. These modules close that gap.

Fleet and vehicle master

Hold registration, ownership, finance, insurance, permit and fitness details per vehicle, with document expiry tracked so a renewal is flagged before the vehicle is grounded.

Driver records and compliance

Keep licence, endorsement, medical and training records against each driver, along with duty history, allowances and the trips they were assigned.

Trip planning and dispatch

Plan routes and loads, assign vehicle and driver, issue the trip sheet, and record halts, detentions, tolls and advances against the trip while it is running.

Fuel and maintenance cost tracking

Post fuel issues, tyre life, scheduled services, breakdowns and spare consumption against the vehicle, so operating cost per kilometre is derived from postings rather than guessed.

Freight billing and settlement

Raise freight bills from the trip record with contract rates, detention and surcharge rules applied, then track receivables, driver settlements and vendor payouts to closure.

GPS and telematics capture

Bring position, distance and running data from your telematics provider onto the trip record so planned and actual movement can be compared on the same job.

Questions operators ask

Before the next dispatch.

Both. Goods movement uses consignment, freight and detention structures, while passenger and staff transport use route, schedule and seat or trip based billing. The vehicle, driver, fuel and maintenance modules are common to both.

Position, distance and running data from a telematics provider can be captured against the trip record so planned route and actual movement sit on the same job. The specific integration is scoped during implementation.

Both are held in the vehicle master with their own cost treatment, so a hired vehicle carries its hire charge and an owned vehicle carries depreciation, finance and running cost against the same trip structure.

Document expiry dates are held per vehicle and per driver, and upcoming expiries are surfaced as alerts so a renewal is handled before the vehicle is stopped or penalised.

How a fleet goes live

Start with the vehicles that move most.

Transport rollouts succeed when drivers and dispatchers are not asked to change everything at once. We start with the master data, then the trip cycle, then billing.

01

Fleet and route mapping

Vehicle types, ownership and hire arrangements, standard routes, contract rate structures and the current dispatch and billing cycle are documented as they operate today.

02

Masters and documents

Vehicle, driver, customer, route and rate-contract masters are loaded along with permit, insurance and fitness expiry dates so compliance alerts are live from the start.

03

Trip cycle on a core fleet

A subset of vehicles runs the full trip cycle in the platform, from dispatch and advance through expenses and closure, while the existing register continues in parallel.

04

Billing and settlement cutover

Freight billing, receivables, driver settlement and vendor payouts move across, and operating cost reporting is tuned once a full billing cycle has been posted.
